Description Position Summary: Provides administrative and clerical support services to facilitate the smooth operation of the business and support Empire Management Group’s vision, mission, and core values.
Duties And Responsibilities - Provides support services including computer processing, typing, composing, and proof-reading correspondence, filing documents for Management and staff
- Greets patients and visitors and direct them to the appropriate person or department
- Manage information flow in a timely and accurate matter
- Answers inquiries and takes concise phone messages. Refers callers/visitors to appropriate individuals
- Opens, sorts, and distributes mail appropriately
- Shipment receiving and processing
- Attends meetings as assigned
- Gathers information and develops summaries as requested. Compiles reports from existing records
- Schedules/coordinates meetings, appointments
- Run various errands as needed
- Sets up and cleans up conference rooms for meetings as needed
- Inventory management
- Office supply budget
- Maintains strictest level of confidentiality
- Represents Empire Management Group in a manner that ensures a positive service image and tone for the organization
- Assists other staff as requested
- Ability to handle multiple projects simultaneously and set priorities
- Ability to work effectively with physicians, staff, patients, external agencies
- Must demonstrate current competencies applicable to the job position
Classification - Full-time position, non-exempt
Salary/Rate - $16.50-$17.50, depending on experience
Requirements Skills: - Maintain knowledge of organization policies, procedures, systems
- Knowledge of office management practices and secretarial procedures
- Demonstrates advanced knowledge of computer processing programs, applications, systems, and other software (knowledge of Apple programs, preferred)
- Knowledge of grammar, spelling, and punctuation to type from draft copy, review, edit reports, and correspondence
- Knowledge of basic arithmetic to make calculations, balance, and reconcile figures, and make changes accurately
- Demonstrates high skill level in verbal and written communication
- Demonstrates high skill level in gathering and reporting information
- Demonstrates excellent time management skills
- Excellent organizational skills
- Develop and sustain a level of professionalism

- Friendly and professional demeanor
Physical Demands - Regularly required to sit, stand, walk, speak and hear
- Sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen
- Occasionally lift and/or move up to 20 pounds
Education And Experience - High school diploma or equivalent
Reports To Qualifications - Minimum of one (1) years of administrative/secretarial experience
- One year with a health care organization strongly preferred
- Medical billing knowledge/experience preferred
- Typing ability 50 wpm and computer processing experience
- Occasional travel as needed
- Clean DMV record
- Bilingual in English and Spanish (read, write, speak)
