The Fundraising Coordinator executes the general administrative needs for the Fundraising and Development team . This critical administrative support role is responsible for gift processing, data integrity, and institutional giving administrative and operational support.
This is a full-time, on-site position. This is a full-time role working on site at our office in Fort Lee, NJ.
Essential Duties
- Responsible for timely and accurate gift processing, which will include data entry and maintenance in the organization's Salesforce database, gift acknowledgement, and reconciliation of records in collaboration with the finance team;
- Supports all Development and Fundraising team members in preserving data integrity and data-entry standards; assure that all data complies with legal regulations;
- Provides operational support for institutional giving: project manages the cycle of grant applications and deadlines for all institutional partners; oversees grant administration and documentation;
- Assists with drafting proposals and reports under the guidance and mentorship of the VP, Development and Fundraising.
- Serves as primary resource for the executive suite for internal knowledge of operations, facilities, supplies, personnel, and processes;
- Manages office supplies and internal meeting calendar for the Development and Fundraising team
- Provides special event support, requiring occasional evening and weekend events; this may include on-site event staffing, check-in, and assistance with attendee list tracking;
- Establishes credibility and collaborative relationships with senior leadership, Board members, donors, volunteers, and colleagues from all other departments;
- Maintain up-to-date donor records in our Salesforce CRM for ease of departmental collaboration;
- Performs other duties as required.
DATA INTEGRITY
- Manages scheduled and ad hoc data integrity audits and updates, using both proactive and reactive measures.
- Maintains and documents data quality standards, including understanding and supporting data privacy policies.
- Executes a variety of data uploads and updates, conforming to set standards.
- Collaborates with key stakeholders to improve the data collection processes.
- Develops, documents, and implements best practices, continuously improving data management processes.
- Supports information sharing across Donor Relations and serves as a resource to staff in maintaining data quality.
REPORTING + METRICS
- Supports the Donor Relations operations team through reporting, problem solving, software knowledge, and data analysis.
- Compiles data for annual fund spending and donor communication projects, including stakeholder meetings.
- Creates fund-specific gift lists, historical beneficiary lists, financial histories of restricted funds, and lists of donors who have supported specific areas of interest on a regular and ad-hoc basis for the purposes of donor stewardship and cultivation as well as information sharing.
- Produces and ensures the accuracy of lists for public recognition and engagement purposes, including donor society, designation specific, and event invitation lists.
- Manages, collects, and shares monthly, quarterly, and annual metrics designed to measure departmental productivity.
FUND MANAGEMENT
- Serves as the main resource for Donor Relations and Development colleagues regarding donor and restricted fund information requests, providing transparent and responsive customer service to donors and campus partners.
- Ensures that almost 1000 donor-friendly financial statements are produced on an annual basis.
This role is also responsible for other duties as assigned.
Education and Qualifications
- Bachelor’s degree and minimum of 2-3 years of related work experience in philanthropy including awareness of fundraising vehicles, patron/customer service, CRM databases, and reporting;
- Familiarity with database and CRM tools. Advanced knowledge and understanding of Salesforce
- Ability to successfully manage multiple projects under tight deadlines;
- Demonstrated skill in planning, prioritizing, organizing, and following through with consistent and accurate results;
- Ability to apply thoughtful, creative thinking, while being persistent, motivated and energetic, along with the ability to work in detail-oriented fashion;
- Strong project and time management skills, with the ability to balance multiple priorities in a fast-paced environment.
- Able to creatively problem solve, think strategically and to anticipate the impacts of decision-making across multiple departments. Takes initiative in addressing operational inefficiencies, offering creative solutions.
- Demonstrates sound judgment, maturity, discretion, self-motivation, sense of humor and decision-making skills; exceptional attention to detail and proven ability to work with highly confidential information.
- Strong interpersonal and communication skills. Communicates effectively with the ability to disseminate complex information and business rules to a wide audience with varying skill sets
- Mastery of Excel.
- Outstanding interpersonal skills; must have credibility, good judgment, integrity, discretion and exercise diplomacy in dealing with a variety of constituents;
- A team player who can skillfully coordinate activities with leadership and peers;
- Decisive and resourceful with the ability to anticipate and act on events and opportunities;
- Must be available to work a flexible schedule and/or travel to attend fundraising events and programming as needed;
- Experience working at a startup is a plus, but not required;
