About the Role:

As our Purchasing Coordinator , based on-site in Saddle Brook, NJ, you’ll be responsible for sourcing and tracking everything we need to keep our operations humming—raw materials, packaging, supplies, and more. You’ll be part problem-solver, part negotiator, part inventory guru—and fully essential to our team. If you’re someone who thrives on ownership, thinks proactively, and loves solving problems before they exist, this is your role.

Key Responsibilities:

  • Order Management: Place and track purchase orders for raw materials, packaging, and equipment. Own the process from request to receipt.
  • Scheduling Coordination: Organize and manage pick-up and delivery schedules for each order based on inventory, vendor availability, and production timelines.
  • Inventory Management: Keep a pulse on inventory levels. Collaborate with the warehouse to anticipate needs and prevent shortages or overages.
  • Communication: Keep vendors and internal teams aligned—especially when there are changes, delays, or cancellations.
  • Receiving Management: Generate accurate, clear labels for inbound shipments with full item descriptions for streamlined receiving.
  • Vendor Relations: Build, maintain, and grow vendor relationships. Negotiate pricing and terms when needed and serve as a reliable point of contact.
  • Entrepreneurial Ownership: Constantly look for ways to improve processes, reduce costs, and increase efficiency in purchasing and scheduling.
  • Problem Solving: Handle delivery issues, payment conflicts, or quality concerns quickly and professionally.
  • Documentation: Maintain detailed records of vendor contacts, POs, schedules, pricing, and performance data.
  • Data Reporting: Analyze purchasing trends and prepare reports to inform operational planning and support smarter decisions.

What We’re Looking For:

  • A go-getter with 1–2 years of experience in purchasing, supply chain, or operations (bonus points for food manufacturing)
  • A business-minded thinker who’s proactive, resourceful, and thrives in fast-paced environments
  • Strong negotiation, communication, and organizational skills
  • Comfortable juggling multiple projects without dropping the ball
  • Proficient in Microsoft Office and ideally familiar with ERP/order tracking systems
  • Bachelor’s degree in Business, Supply Chain Management, or a related field preferred
  • Bilingual (English/Spanish) is a plus
